Steps to Coordinate a Conference

Coordinating and planning a successful conference requires following a series of steps.

Coordinating and planning help ensure that you will prioritize and perform the necessary steps in the correct order to achieve success and make the process of organizing your conference or event easier. Over the years, I have found the following steps to help execute successful events and conferences.

 

Step 1

Setting a date is first on my schedule. It’s necessary to have when you begin scheduling the event place, guests, and/or speakers. Looking at the dates best suited for the area, type of event, and where. Several platforms on the internet today can give you specific days for this in the area of the city you have chosen.  For my conferences using this way of selecting has caused an increase in the speaker’s availability and the discounted rent for the meeting rooms at the chosen hotel. It also has helped in the decrease of the costs of the hotel rooms for the stay.

Step 2

When the location is found and your dates are set for the best opportune time for your event, Location is next and crucial to success as well. If you would rather have it at a convention center, speaking with the event planner is a must and if possible setting up a meeting one on one is beneficial. You’re able to see the area and plan according. The conference room at the hotel is the same. In doing my conferences, I like the hotel so that my Speakers and guests do not need to travel. they’re also able to mingle around with each other or guests. Connecting in ways that will benefit everyone in the end.

Step 3

Finding the Speakers, Vendors or appropriate people is crucial to a great event. For my conferences, I take time to pray, earnestly seeking God’s will and purpose. He can show me their faces if I already know them. He also has just connected me with them at any given time and the Holy Spirit has awakened my spirit and I know to ask them and talk about why I believe they are a perfect fit for the conference. If you are a Believer, I’m sure God will do the same for you. For events, choosing the best qualified to fulfill the duty is best. To compromise is disastrous. The theme of your event should draw in those who have a message for the venue you have selected and add the correct vendors to help increase the attendees and connections overall.

Step 4

One-on-one meetings with your Speakers, artists, vendors, and those who will play a bigger role in the event, is a must and the next step to organizing your event. Knowing the background, work, intent, ministry, or story of the Speaker and others is crucial to bringing your plan together and the type of people that will attend. You also get to know more about this person and the connection is rewarding in many ways. Events don’t always bring in the connections that help lead you to greater victory so in my opinion, it pays to have the conversation with those involved in your event and be supportive of where they are going and how can they support you as well.

These are the first steps to having a great event. Take the time to be prepared and ready for a prosperous conference, event, meeting, group, religious gathering,g or whatever yours is.
