Also find online, the best facilities that will accommodate what you need. In negotiating with the event planner you can bring to the table, the dates, dates that are low rental days, and Cost, the cost will be lower in off-season times. This will pertain to your overnight room rate as well.

Getting online and finding the best dates, and times to have the conference, gives you the ability to take this knowledge to negotiate with the event planner. As I have learned over the past years, nothing is ever cut in stone. As a leader and planner, you want to get the best deal for your sponsors, your speakers or entertainment, and your guests. When speaking with the hotel or conference room personnel, you can use your learned knowledge to ask for discounts, benefits, and gifts. Most event planners will work with you because they want your contract.

In most northern states, hotels/conference centers see their winters as a downtime since most people don’t want to travel in bad weather. So many discounts can be applied. During travel times, it’s more difficult to receive the discounts as the high value of events happen. There may also be other events in the area and this tends to decrease the attendance and rates. Having the ability to fluctuate your dates will help in getting the best deal you can.

In our times today, many places are willing to negotiate and contract with you. Some is definitely better than none. In the process of doing this, you become a salesperson for sure.
